QuickBooks Cleanup ServiceThe plug the file was born with

Opening balance equity is the account we refuse to clear with one entry.

Why this account does not get one entry

A monthly close is a habit, the same day, the same order, a bank that ties before anyone leaves the shop. A habit is worth having when you can tell a partner the day and the order without looking anything up. Opening balance equity is the opposite of a habit. It is a plug from the day the file was born, and it should not still be running the books years later.

The account shows up when a file is created from a bank balance, a guess, or a partial list of what people own and owe, and the two sides do not meet. Software parks the difference in opening balance equity so the file will open. That is a courtesy on day one. It is a problem on day four hundred, because every later report is standing on a number nobody can explain.

Clearing it with one journal entry makes the account read zero and moves the mystery somewhere else. Profit changes, or retained earnings changes, or a suspense account appears with a friendlier name. The cause is still in the file. We will not do that entry to make a dashboard look calm.

The useful pass is a naming pass. What part of the plug was the opening bank balance. What part was inventory someone typed from memory. What part was a loan that never had an amortization. What part was simply the difference between two reports printed on different days. Each piece we can name gets a home. Each piece we cannot name stays in the account, with a note, until you can tell us what it was.

Owners sometimes inherit the plug from a prior bookkeeper who was told to make the balance sheet balance before a meeting. The meeting happened. The plug stayed. There is no disloyalty in undoing that. The prior person was solving a different problem, which was a meeting, not a year you can file.

If the plug sits inside a year you already filed, it joins the freeze we talk about on the filed-year page. We do not drain it through retained earnings just because retained earnings is where plugs go to hide. You hear the size of the unknown, in words, before anyone posts.

A file with a zero in that account is not automatically healthy. Someone may have drained it last spring. We look at the journal history, not only the current balance. A zero that arrived by a single entry on a Friday afternoon is a story. A zero that arrived because each opening balance was tied to a statement is a different story. We can tell them apart.

What you can do before we ever see the file is simple. Do not post a clearing entry this week because a video said the account should be empty. Empty is the result of naming, not the method. If you already posted one, say so. We would rather see it than discover it under a reconciliation.

When the pieces have names, the account goes quiet and stays quiet. That is the whole ambition. Not a clever entry. A balance sheet that can introduce itself without an apology.

A head start that does not risk the file

If you want a head start that does not risk the file, print the history of opening balance equity and read the dates rather than hunting a clever total. A cluster of lines on the day the file was created is the original plug. A single line on a later Friday is someone trying to make the account disappear. Both are useful. Neither should be deleted before we see them.

Bring the statement that was in front of the person who created the file, if it still exists. A bank statement, a loan balance, a balance sheet from a return. The plug is often the gap between two of those papers. When the papers are on the table, the naming pass is short. When they are gone, the unknown piece stays in the account with a note, and that is an honest outcome.

Do not create a new equity account with a friendlier name and move the balance. The new name feels like progress and it hides the trail. We would rather see the original account with a balance than a custom account called a prior year fix that nobody can explain.

If the balance is already zero, still bring the history. Zero is a result. We need to see whether it was earned by naming or by one entry. That difference decides whether the balance sheet can introduce itself without an apology.
