QuickBooks Cleanup ServiceLeave the filed year where it is
The work does not wander into a year you already filed until we have said what kind of difference it is.
Freeze that year
How a filed year gets treated
A date you can point to on a calendar stays put until someone has a real reason to move it. The IRS already has the return you sent. The file should still be willing to meet that return without a surprise edit on a weeknight. We respect a mark that does not get moved every spring. A filed year should be that kind of mark. It stays put until there is a real reason to touch it.
After a return is filed, the company file keeps living. Someone downloads a bank feed into a closed month. Someone recodes a large deposit because a customer finally said what it was for. Someone posts a journal entry so a report matches a feeling. The return does not know. The file and the return become two stories about the same months.
We sort the difference before we edit. The first kind is drift after filing. The year was right when it was filed, and the file moved later. The repair is to put the file back in agreement with the return, or to document the drift and leave the return alone. We say which, and why.
The second kind is a small miss. A category is clumsy. A meal landed in supplies. Profit is still the profit you filed. We do not reopen a year for a relabel that does not change the tax. We fix the habit going forward, in the open months, where a better name actually helps the next return.
The third kind is a large miss. Income in a holding account never reached the return. A personal transfer was booked as a sale. A loan deposit was called revenue. That one you hear about in a sentence, with the direction of the miss, before anyone posts an entry. Reopening a year is your decision after that sentence, not a side effect of cleaning up March.
The freeze is practical. We close the books for the filed period inside the file, or we simply refuse to post there, and we do the open months in the open months. Comparatives stay readable. Next year's starting balances do not inherit a silent edit. If we later reopen, it is a separate piece of work with its own scope, not an accident at 6 in the evening.
Owners fear this part more than the messy checking account. The fear is a letter, or a partner asking why the report changed. The way through is to keep the filed year boring. Boring is a compliment. It means the return you signed and the file you still use are willing to be introduced to each other.
If you have already edited the filed year, tell us. Bring the date if you know it. We can often see the entries. Pretending they did not happen wastes the first hour, and the first hour is when trust either starts or does not.
This page cannot tell you what a notice will say, and it cannot predict a refund. Your return stays unknown until an engagement exists and we are looking at it. The order on this page is the part you can use today. Freeze the year, name which kind of difference you have, then decide. Open months can keep moving while that decision waits.
What to bring, and what to leave alone
Bring the return that was filed, or the confirmation that it went, and the profit report for that same year as the file shows it today. They do not need to match before the call. The gap between them is the conversation. If you cannot put your hands on the return, say so. We can still freeze the year inside the file. We cannot name the kind of difference until the return is in the room.
While you wait, resist two temptations. Do not unlock a closed period because a bank feed is knocking. Do not recode a large deposit in a filed month because a customer finally explained it. Write the explanation down. The open months can use it. The filed months can wait for the decision.
If you already unlocked the year and posted, list the dates as well as you remember them. Approximate is fine. The journal will show the rest. What we need is the honesty that it happened, so the first hour is not a search for a surprise.
